For aspiring Filipino virtual assistants

Start with a skill. Build from there.

A practical guide to becoming a VA, from someone who started as one. You do not need to know everything on day one. You do need a clear service, proof you can do the work, and the patience to apply well.

01 / Where I started

My path into VA work

I did not start with a fancy title or a perfect portfolio.

Before becoming a VA, I had years of BPO experience. I learned how to communicate with clients, manage expectations, solve problems, and show up consistently. When I moved into VA work in 2017, those skills came with me.

I later worked as a freelancer and took on more specialized projects. A client in the US became my business partner and trusted me to build a virtual staffing agency together. In 2024, we co-founded Team Outsource to help clients hire experienced specialists.

My experience as a VA, freelancer, and agency co-founder has shown me what clients value: clear communication, ownership, and work they can rely on. I put those lessons into this guide so you can start building those skills, even if you are new to VA work.

Your path may look different. Use the experience you already have, even if it came from customer service, admin, sales, school projects, or helping a small business.

02 / The roadmap

How to begin, step by step

“VA” is a broad label. Clients hire for specific work. Start by choosing one kind of work you can explain and demonstrate.

01

Pick one starting service

Match your existing strengths to a real task: inbox and calendar support, customer service, lead research, appointment setting, social media assistance, or bookkeeping support if you have the skills. Do not claim a specialty you cannot deliver yet.

02

Learn the work and its tools

Read real job descriptions to see what employers ask for. Practice the tools tied to your chosen service, such as Google Workspace, spreadsheets, a CRM, or scheduling software. A tool list alone is not a service.

03

Make proof of your skill

Create two or three sample pieces using fictional data: a clean tracker, a sample follow-up email, an appointment-setting script, or a short content calendar. Label practice work honestly. Never show private client information.

04

Write a focused profile

Say who you help, what you do, and what relevant experience you bring. “I can do anything” makes it harder for a client to see the fit. Your BPO, office, retail, or project experience may already provide useful proof.

05

Apply with intention

Choose roles that fit your skills and schedule. Read the entire post, respond to the actual requirement, and include one short example of related work. Keep a tracker so you can follow up and learn what gets replies.

06

Build trust after you land work

Confirm priorities, communicate blockers early, document what you complete, and protect client data. Reliable delivery helps you earn references and grow into better roles.

New to the tools?

You can learn and practice independently before applying. I do not run paid VA training, and Team Outsource does not sell beginner training. If someone asks you to pay for training while claiming to be from my team, that offer is not from us.

03 / Places to look

Find work where it fits your goal

Start with one or two platforms so you can make a strong profile and thoughtful applications. Always check the current terms and eligibility on each site.

Upwork

For freelance projects and client contracts. Build a focused freelancer profile with skills, work history, and relevant samples, then tailor proposals to suitable jobs.

Make your Upwork profile easy to understand

Clients should quickly see the work you do and who you help. Try this short profile check based on my walkthrough:

  1. Use a clear, recognizable photo.
  2. Name one service and the type of client you can help.
  3. Describe relevant experience, including BPO or other work that supports that service.
  4. Add honest samples, testimonials, or certifications that match what you offer.

An introduction video is optional. Focus on a truthful profile first.

Find jobs that match your skill

In this quick Upwork walkthrough, I compare recent posts, suggested matches, and saved searches. Start with a service you can deliver, then read each job description before applying. The goal is to find a good fit, not send the same proposal everywhere.

Protect yourself while applying

Check the company and person behind a role. Be careful with requests for upfront payment, sensitive documents before a legitimate hiring process, or work terms that are unclear. For platform work, review that platform's payment and communication rules.

04 / Words you can adapt

Make your experience easy to see

Use specifics from your own background. These are examples, not claims to copy if they are not true for you.

A focused profile opener

“I support small teams with inbox management, scheduling, and customer follow-up. My customer service experience taught me to communicate clearly, keep accurate records, and handle requests on time. I can share sample trackers and messages that show how I organize the work.”

Replace the service and experience with your own.

A short application opener

“Hi [Name], I saw that you need help responding to inbound leads and keeping your calendar organized. I have experience with [relevant task]. I would start by [one useful first step]. Here is a sample of similar work: [link]. Could you share which lead source needs the fastest response?”

Personalize it to the posting. Never invent past results.
